The National Caving Library is maintained and operated by BCRA in the Local Studies Department at the County Offices, Matlock, Derbyshire.

The library consists of a large collection of books and journals on caving topics from Britain and abroad, which is frequently updated. The Association maintains journal exchanges with many caving clubs worldwide. The library is managed by BCRA on behalf of BCA. (However, please note that ownership of individual items may remain with the donor and that for the avoidance of doubt neither BCRA nor BCA asserts ownership of the total collection). The National Caving Library is open to all personal callers, whether or not they are members of BCA. However, the services of the librarian (e.g. photocopying; answering postal enquiries) are only available to members of BCA

1 Jan 2008: Following the placing of the advert shown below, BCRA has appointed a librarian, and has received other offers of help from volunteers. Further information about the library will be given as soon as possible. In the meantime, we still need all the volunteer help we can get!

 
 

20 August 2007: Following the sad death of our librarian, Roy Paulson, (Speleology 9, p4) and the unearthing of yet more archive material from cavers' personal collections (BCRA Newsletter 7, p10), BCRA urgently needs to recruit volunteers to help to fulfil its librarian function, and needs a new post of archivist to document and catalogue all the archive material currently in storage. An online publications sub-editor is also required.

In the 21st century, we ought to have at least a printed library catalogue of library acquisitions, if not a searchable online catalogue. We don't have either; and we will continue not to have these until we manage to recruit top-class, skilled volunteers with the appropriate skills. We therefore need to recruit at least two 'team leaders' - a librarian and an archivist - and we need any additional help we can find. A related problem is, of course, the finding of a suitable secure location in which to house the ever-increasing volume of material we have.

20 February 2007: We have just heard the sad news that our librarian, Roy Paulson has died. Roy became the BCRA librarian in 1980, and has been described as "one of those unsung heroes that did so much, quietly, behind the scenes". Roy carried out an enormously time-consuming task expertly and diligently and he is going to be a difficult person to replace.

In the immediate future we shall, unfortunately, have to suspend the enquiry and photocopying service we offered to BCA and BCRA members.

Postal Enquiries about the library should now be sent to our General Enquiries address (see Contacting Us). Items for Deposit should henceforth also be sent to that address. Please mark such items clearly as "BCRA Library Deposit".

For the past few years, the lack of storage space at the present facility has been a problem, and this has recently been made more acute by the acquisition of a large amount of fresh material from various personal collections. The National Caving Library needs to move to larger premises which, of course, need to be secure and suitable. BCRA has been looking for a new location for some time, but without success so far. BCRA is also, of course, now seeking a new librarian and it is possible that this may need to be a remunerated post. Anyone who can assist in any way is asked to contact the BCRA secretary.   June 2006: Significant work is currently underway to make available many more publications, previously unavailable at Matlock.  This is likely to be complete within the next 12-18 months (from Summer 2006) at which stage this web page will be further updated.  

How to get to the Library
  The BCRA Library is situated alongside that of the Peak District Mines Historical Society at the Local Studies Department, County Offices, MATLOCK, Derbyshire DE4 3AG. The County Offices are located up the steep hill (Bank Road) running due east from Crown Square in the centre of Matlock. Both collections are available as a reference source to any member. The normal opening hours are 0900 to 1700 hours, Mondays to Fridays plus, very occasionally, a Saturday morning. The person in charge of the Department is Mrs Ruth Gordon to whom visitors should introduce themselves with their current membership card. Members are also asked to record their visit in the BCRA Visitors Book.  

Using the library for research
  Studies should be carried out in the Department, which has full facilities such as photocopying, and not in the book storage area, which is very cramped. Please note that the library is for reference only - material may not be removed from the library.  

Making requests for searches
  Requests for information must be specific as neither the Staff of the Local Studies Department nor the BCRA's Librarian can undertake lengthy searches. Enquirers are strongly advised to make a preliminary search through back issues of either Current Titles in Speleology or BBS-Speleological Abstracts and then to quote the appropriate reference number(s). Club Librarians should make every effort to have at least the last five issues of one or other of these Speleo Abstract publications on their shelves to facilitate searches.   Replies to enquiries will, except in special circumstances, that have been arranged through the BCRA Librarian, be in the form of photocopies which will be charged at cost.  
  The BCRA's librarian can occasionally carry out literature surveys for enquirers. If the cost of photocopying is a factor, or if so instructed, he can work backwards from the most recent publications until a certain total cost is reached. This service is time-consuming and can be 'fiddly'; in cases where there is a large amount of relevant literature it is best for the enquirer to do his own browsing!  

Depositing material in the library
  Please remember that if you have any caving (or mining) books, maps or publications that you no longer require, then the library at Matlock is the place for them! A quantity of duplicate material is always available for exchange if required; caving club librarians may find it mutually advantageous to contact the BCRA Librarian about exchanges to fill gaps in each other's publication runs.  
  All British caving (and similar) organisations are asked to donate a copy of each issue of their publications to the BCRA Library; this will ensure that the contents are available to all cavers, especially in years to come. Also see: BCRA's Journal Exchange Programme  
  In recent years a number of caving clubs have stopped sending their publications to the library. BCRA urges caving clubs to deposit their journals and other publications with the library, so that a comprehensive national caving collection can be maintained for the benefit of all.

It is our intention to provide C&KS online from 2008 and, if resources permit, to work our way through the back issues preparing them for online re-publication. To help ease the workload on the existing team we are seeking volunteers to help prepare the online content. We may extend this role to cover Speleology if sufficient volunteer help is forthcoming.   • Preparing abstracts and contents lists in a prescribed database format
  • Rewriting PDF master documents to form PDFs of individual articles at varying graphics resolutions
  • For these tasks you must have a good working knowledge of PDF, PostScript and graphics formats.
 
  Librarian

  • To document all new library acquisitions; labelling them and transferring them to the library at Matlock
  • To answer enquiries from members wishing to find material in the library and to send them photocopies of items they request
  • To maintain up-to-date contact details of organisations, internationally, that participate in our journal exchange programme
  • To document all items sent and received as part of the journal exchange programme
  • To liase with the BCA membership secretary, providing him with up-to-date details of members of the journal exchange programme
  • To liase with the Foreign Secretary on matters to do with journal exchanges and representation of BCRA internationally
 
  Candidates for this post must have suitable skills, which will be discussed at an interview. Although it is not essential that the librarian live in proximity to Matlock, Derbyshire, it will obviously be necessary to make visits to the library from time to time. You will, however, be able to count on the support of BCRA volunteers who live locally. Although this post is unpaid, you will be entitled to claim personal expenses (but not personal travelling expenses).  
  Archivist
This post is an unprecedented opportunity to be involved with management of British caving heritage. As with all posts, the activities can be tailored to suit a volunteer's preferences.
 
  BCRA currently manages a large collection of historical information on behalf of the caving community. Largely unavailable to the caving masses, it is now time to address the situation in some innovative ways. We are therefore looking for a dynamic individual with some time to lend a hand in managing our caving heritage. Eventually, this will result in archive material not seen for decades being available to the caving community. Long term projects could involve...  
 
  • Making the collections available in innovative ways (e.g. scanning for online viewing)
  • Making arrangements for the long-term loan of duplicate copies of library acquisitions to suitable club libraries, thereby increasing the availability of the material
  • Updating our long out-of-date lists of which libraries (in the UK and overseas) hold collections of BCRA publications
  • Making available a comprehensive catalogue (paper and online formats) of BCRA library material
  • Candidates for this post must have suitable skills, which will be discussed at an interview. Although it is not essential that you live in proximity to Derbyshire, this is where the archive is currently in storage. You will be able to count on the support of other BCRA volunteers who live locally.
 
  Although this post is unpaid, you will be entitled to claim personal expenses (but not personal travelling expenses). Depending on your demonstrated skills and commitment we may, after a probation period, invite you to deliver certain 'special projects' in return for some financial recompense.
